Workforce Planning

Visualize and simulate organizational changes before you make them. See the impact of every hire, move, and restructure with transparent calculations.

What It Does

Workforce Planning lets you drag and drop employees, job candidates, and acquired talent across departments to test "what-if" scenarios. Every move shows you the projected impact—revenue changes, training costs, time to productivity, and whether the change is recommended—before you commit.

How It Works

The page displays your organization as interactive department cards. You can:

  • Move existing employees between departments to test restructures
  • Drag candidates from open job positions into departments to simulate hires
  • Place acquired talent from M&A integrations into teams

When you drop someone into a new department, ORiON instantly calculates:

  • Revenue impact (for sales roles)
  • Performance change predictions
  • Training costs required
  • Ramp time to full productivity
  • Overall recommendation (Recommended / Not Recommended / Consider Alternative)

You can also use the ORiON Reorg Assistant chatbot to ask questions like "What happens if I move Sarah to the Product team?" and get AI-powered analysis.

Privacy & Data

All organizational data comes from your connected HR system and CRM. Employee names, performance scores, and salary information remain private within your ORiON account. Simulation results are calculated using your historical company data, not shared across organizations.

Revenue Intelligence

Connect your people to your revenue. See which employees drive results, what training delivers ROI, and who's at risk of leaving—all with transparent, auditable calculations.

What It Does

Revenue Intelligence combines HR data with CRM performance to answer questions traditional analytics can't: Which employees generate the most revenue? How long do new hires take to become productive? What training programs actually pay off? Instead of viewing people and revenue separately, you see them together.

How It Works

ORiON pulls employee data from your HR system and revenue data from your CRM, then calculates cross-functional metrics that reveal the relationship between your workforce and revenue performance.

What You'll See

Four Key Metrics:

  • Revenue per Employee - How efficiently your workforce generates revenue
  • Average Time to Productivity - Days from hire to first closed deal
  • Quality of Hire Score - How well new hires perform in their first year (0-100 scale)
  • Training ROI Average - Return on investment across all training programs

Five Analysis Tabs:

  1. Overview - Revenue trends, productivity improvements, and department performance (Sales, Marketing, Customer Success)
  2. Top Performers - Revenue leaderboard showing your highest contributors with deal counts, win rates, and a compensation vs. performance scatter chart
  3. Hiring Intelligence - Traits that predict success at your company (e.g., "3-5 years SaaS experience = 92% correlation with top performance") plus AI-generated ideal candidate profiles
  4. Training ROI - Every training program's cost, revenue impact, ROI percentage, and payback period with transparent formulas
  5. Retention Risk - High-value employees at risk of leaving, with risk scores, specific risk factors, engagement trends, and action buttons

Privacy & Data

All data comes from your connected integrations. Employee names, compensation, performance scores, and revenue attribution remain private within your ORiON account. No data is shared across organizations. Calculations use only your company's historical patterns.

Retention Analytics

Identify which high-value employees are at risk of leaving before they start interviewing elsewhere. Every risk score shows the formula and factors behind it.

What It Does

Retention Analytics (found in the Revenue Intelligence page under the "Retention Risk" tab) proactively identifies top performers who show signs of potential attrition. Instead of reacting to resignations, you get early warnings with specific risk factors so you can address issues before losing critical talent.

How It Works

ORiON analyzes performance data from your HR system and revenue data from your CRM to calculate risk scores for each employee. The system looks at patterns that historically predict turnover.

Risk Score Formula:

Risk Score (0-100) = (Compensation Gap × 0.35) + (Engagement Decline × 0.30) + (Tenure Factors × 0.20) + (Performance Pressure × 0.15)

Risk factors tracked include:

  • Time since last promotion or raise
  • Compensation vs. market benchmarks
  • Engagement score trends (declining over time)
  • Performance pressure indicators
  • Tenure milestones (18 months is a common flight risk point)

What You'll See

For each at-risk employee, you get:

  • Employee name, role, and annual revenue contribution - Understand the financial impact of losing this person
  • Risk score (0-100) - Higher scores mean higher likelihood of leaving
  • Specific risk factors - Clear reasons like "No promotion in 18 months, compensation below market" or "Declining satisfaction scores over 3 quarters"
  • Current engagement score and trend - Track how employee sentiment is changing
  • Action buttons - Quick access to schedule retention discussions or review compensation

Risk levels:

  • 80-100 (Critical): Immediate action needed
  • 60-79 (High): Schedule retention discussion
  • 40-59 (Moderate): Monitor closely

Privacy & Data

All data comes from your connected HR system for employee information and engagement data, plus your CRM for revenue attribution. Employee names, compensation, performance scores, and risk assessments remain completely private within your ORiON account. Risk scoring is based on your company's historical patterns, not shared across organizations.

Integrations

Connect ORiON to your existing systems. We integrate with nearly any platform—CRM, HR, admin tools, or custom internal systems.

What It Does

The Integrations page lets you connect ORiON to the tools you already use. Once connected, ORiON automatically pulls data from these systems to calculate metrics, generate insights, and keep everything in sync—no manual data entry required.

How It Works

ORiON uses secure API connections to access data from your business systems. You provide API credentials (like API keys or OAuth tokens), and ORiON handles the rest—syncing data automatically every 24 hours or on-demand when you need fresh information.

Supported integration types:

  • CRM Systems - Sales data, deals, revenue, customer information
  • HR Platforms - Employee data, performance reviews, compensation, tenure
  • Admin Systems - Organizational structure, user activity, team composition
  • Custom Internal Tools - Your proprietary systems via REST APIs

We can integrate with virtually any platform that offers an API, whether it's a popular third-party service or a custom system built in-house.

What You'll See

The Integrations page shows:

  • Connected systems with status indicators (active, syncing, needs attention)
  • Available integrations ready to connect
  • Setup guides with step-by-step instructions for each platform
  • Sync history showing when data was last updated
  • Connection health alerts if credentials expire or sync fails

When you connect a new integration, ORiON immediately begins importing your data. Empty state widgets across the platform automatically populate once the required integrations are connected.

Privacy & Data

All API credentials are encrypted and stored securely. ORiON only requests read access to the data needed for calculations—we never modify your source systems. Your data stays private and is never shared with other organizations. You can disconnect any integration at any time, and historical data remains available.

Getting Started

How do I connect my first integration?

  1. Go to Settings > Integrations
  2. Click "Add Integration"
  3. Enter your API key or credentials from your HR/CRM system
  4. Click "Test Connection"
  5. Once verified, data will start syncing automatically

Where do I find my API key?

  • Most systems: Settings > API or Developer Settings
  • Still can't find it? Email us at support@applybyorion.com

Why am I seeing "No data available" everywhere?

Most common causes:

  1. You haven't connected any integrations yet — Go to Settings > Integrations and connect your HR or CRM system
  2. Data is still syncing — Wait 5-10 minutes after connecting a new integration; check Settings > Integrations to see sync status
  3. Your source system has no data — Verify that your HR/CRM system actually has employee or deal data
  4. API permissions are restricted — Make sure your API key has read permissions; contact your system admin to verify access

How long does it take for data to appear?

  • Initial sync: 5-10 minutes after connecting
  • Ongoing updates: Depends on your sync frequency (real-time, hourly, or daily)
  • Check sync status: Settings > Integrations shows last sync time

Can I invite my team members?

Yes! Go to Settings > Team and click "Invite User"

Available roles:

  • Admin - Full access, can manage integrations
  • Manager - View their department's data, can't change settings
  • Viewer - Read-only access

Integrations

"Invalid API Key" error - what do I do?

Try these fixes:

  1. Copy the entire key - Don't leave off any characters
  2. Check for extra spaces - Remove any spaces before/after the key
  3. Verify the key hasn't expired - Generate a new one in your source system
  4. Confirm you have the right permissions - Some systems require admin access to create API keys

"Connection Timeout" error

Common fixes:

  1. Check your base URL - Make sure it's correct (e.g., https://yourcompany.com/api)
  2. Verify firewall settings - Your company firewall might be blocking API requests
  3. Try again in a few minutes - The source system might be temporarily down

My integration shows "Connected" but data isn't syncing

Check these:

  1. Review sync logs - Go to Settings > Integrations > Click "View Logs"
  2. Verify API permissions - Your key needs read access to employee/deal data
  3. Check field mapping - Some systems require manual field mapping
  4. Force a re-sync - Click "Sync Now" in Settings > Integrations

Which systems does ORiON integrate with?

ORiON integrates with any system that has API access, including HR Systems (employee data, performance ratings, headcount), CRM Systems (deal pipeline, revenue data, sales rep performance), and Internal Tools (custom databases or proprietary systems). If your system has an API, we can connect to it.

How do I disconnect an integration?

  1. Go to Settings > Integrations
  2. Find the integration you want to remove
  3. Click the three dots (•••) menu
  4. Select "Disconnect"

Note: This will stop data syncing but won't delete historical data already in ORiON.

Flight Risk & Retention

Flight risk scores seem wrong - why?

Most common reasons:

  1. Performance ratings are outdated — Flight risk uses performance data from your HR system; update performance reviews in your source system, then re-sync
  2. Hire dates are incorrect — Tenure is a major factor in flight risk; fix hire dates in your HR system
  3. You're comparing to other tools — ORiON uses a specific formula (Tenure 30% + Performance 40% + Workload 30%); click "View Formula" to see exactly how we calculate it

Why is someone with great performance marked high risk?

Flight risk isn't just about performance. We also factor in: Tenure (employees at 12-24 months have highest turnover statistically), Workload (top performers handling too many deals/responsibilities burn out), Compensation (great performers paid below market average often leave). Click on the employee's risk score to see the full breakdown.

Can I adjust the flight risk formula?

Not currently. The formula is based on workforce research showing that tenure, performance, and workload are the strongest predictors of turnover. Want custom formulas? Enterprise plans include custom risk modeling. Email support@applybyorion.com

How often does flight risk update?

Flight risk recalculates every time we sync new data from your HR system. Check your sync frequency in Settings > Integrations.

Workforce Management

Headcount numbers don't match my HR system

Common causes: Different date ranges (check the date filter at the top), Inactive employees included (ORiON might be counting terminated employees), Data hasn't synced yet (recent changes take 5-10 minutes to appear), Contractors vs. FTEs (check if your HR system includes contractors). To fix: Go to Settings > Integrations and click "Sync Now"

"Workforce Gap" is showing $0 impact - why?

This happens when: No open positions (you're fully staffed), No revenue data synced (connect your CRM to calculate revenue impact), or Target headcount not set (set target headcount in Settings > Workforce).

How do I set target headcount?

Currently, ORiON pulls target headcount from your HR system's "budgeted positions" or "approved headcount" fields. Don't have this in your HR system? Email support@applybyorion.com - we can help configure it manually.

Revenue Intelligence

Revenue numbers don't match my CRM

Check these: Date range (ORiON might be using a different period), Deal stages (verify "Closed Won" deals are marked correctly in CRM), Currency (if you use multiple currencies, check conversion rates), Sync timing (recent deals take a few minutes to sync). Still off? Email support@applybyorion.com with specific examples.

Why don't I see any revenue data?

Two reasons: No CRM integration connected (Go to Settings > Integrations and connect your CRM), or No closed deals in your CRM (ORiON can only show data that exists in your source system).

Deal velocity calculation seems off

Deal velocity formula: Average days from opportunity created to closed won. Common issues: Old deals skewing the average (filter by date range, last 90 days recommended), Deals missing creation dates (clean up data in your CRM), Including lost deals (we only count closed won deals).

Dashboard & Customization

How do I add widgets to my dashboard?

  1. Go to Personal Dashboard
  2. Click "Add Widget" (top right)
  3. Select the widget you want
  4. It appears at the bottom - drag it to rearrange

My dashboard layout keeps resetting

Try this: Clear your browser cache; make sure you're not in incognito/private mode; try a different browser. Still happening? Email support@applybyorion.com

Can I create multiple dashboards?

Not currently - you have one Personal Dashboard that you can customize. Want this feature? Email support@applybyorion.com with your use case.

Dashboard is loading slowly

Quick fixes: Reduce number of widgets; check internet connection; clear browser cache; use a shorter date range (loading 2 years of data is slower than 90 days).

Formulas & Calculations

Where can I see the formula behind a metric?

Click "View Formula" on any metric card to see: The exact calculation, what data sources we use, and how each component is weighted. Every metric in ORiON has a transparent formula - no black boxes.

Can I customize the formulas?

Currently, formulas are fixed based on workforce research and best practices. Enterprise customers can request custom formulas. Email support@applybyorion.com

Why do you calculate flight risk the way you do?

Our formula is based on workforce research showing: 40% Performance (underperformers are more likely to be let go or leave), 30% Tenure (highest turnover happens at 12-24 months), 30% Workload (overworked employees burn out). We weight performance highest because it's the strongest predictor of turnover.

Account & Billing

How do I upgrade my plan?

How do I cancel my subscription?

Email billing@applybyorion.com. What happens: You keep access until the end of your billing period; your data is saved for 30 days (you can export it); after 30 days, your data is permanently deleted.

Can I get a refund?

We currently do not offer refunds. Please email billing@applybyorion.com with any questions or concerns.

How do I export my data before canceling?

  1. Go to Settings > Data Export
  2. Select what you want to export
  3. Choose format (CSV or PDF)
  4. Click "Export"

You can export all your data anytime - you don't need to cancel first.

Data & Privacy

Is my data secure?

Yes. We use: AES-256 encryption for data at rest, HTTPS encryption for data in transit, SOC 2 Type II compliance, GDPR and CCPA compliance. We never sell your data or share it with third parties.

Who can see my data?

Only users in your workspace with the appropriate permissions: Admins see everything; Managers see their department only; Viewers have read-only access to what you grant them. ORiON staff cannot access your data without your explicit permission.

Can I delete my data?

Yes. Email support@applybyorion.com to request data deletion. What happens: We delete all your data within 30 days; this includes employee data, revenue data, and all historical records; this action cannot be undone.

Do you use my data to train AI models?

Yes, but only within your workspace. We use LLMs to analyze text data like performance reviews and generate insights. The model learns from your company's data to get better at understanding your specific context and terminology. Key points: LLMs are used for text analysis, not core metric calculations; your data never trains models for other customers; all metric formulas remain transparent and auditable; the more you use ORiON, the better it understands your company's language. Your data is private and secure. We never share it with third parties.

Technical Issues

ORiON won't load / Blank screen

Try these: Refresh the page (Cmd+R or Ctrl+R); clear browser cache; try incognito/private mode; try a different browser (Chrome, Safari, Firefox, Edge all supported); check if ORiON is down - support@applybyorion.com. Still not working? Email support@applybyorion.com

"Session expired" error keeps appearing

This usually means you've been logged out for security or you're logged in on another device/browser. Fix: Log out completely, then log back in.

Can't log in / "Invalid credentials" error

Try this: Double-check your email and password; reset your password (Click "Forgot Password" on login screen); check your email for the reset link (expires after 1 hour); still can't log in? Email support@applybyorion.com

Exports aren't working

Common issues: Pop-up blocker (allow pop-ups for applybyorion.com), Browser download settings (check your downloads folder), Large export (exports with lots of data take 30-60 seconds).
